General Summary:  The Assistant Registrar, Academic Scheduling Analytics serves in a pivotal role in coordinating and managing the scheduling of academic courses, classrooms, and other academic facilities within the college. This position ensures the efficient use of resources, optimal allocation of classroom space, and the timely coordination of course schedules. The Assistant Registrar also collaborates with academic departments, faculty, and staff to maintain an effective scheduling system.

Requirements:  Master’s degree required in a related field and a minimum of three years of related experience (preferably academic and room scheduling in a higher education setting) OR bachelor's degree required in a related field and a minimum of five years of related experience (preferably academic and room scheduling in a higher education setting). Strong organizational and analytical skills. Proficiency in scheduling software and databases; experience with Ad Astra preferred. Excellent communication and interpersonal skills. Knowledge of academic policies and regulations. Detail-oriented and capable of working under pressure. Requires a high degree of organization, communication, and collaboration with various stakeholders.

Duties: 

1. Academic Course Scheduling:
  • Develop and implement a comprehensive course scheduling plan and annual timeline, taking into account student needs, program requirements and room availability.
  • Assist in creation of the academic calendar, including class start and end dates, registration periods, and exam schedules. 
  • Ensure that courses are scheduled in a way that maximizes classroom space and minimizes scheduling conflicts.
  • Develop and refine the final exams schedule and optimize to assign rooms.
2. Room Scheduling:
  • Oversee the allocation and reservation of classrooms, lecture halls, and other academic facilities.
  • Collaborate with campus events coordinators and schedulers to avoid conflicts between academic and non-academic events.
3. Data Management:
  • Maintain accurate records and databases related to course schedules, classroom assignments, and academic facilities.
  • Manage administrative setups and user access to the Scheduling systems
  • Plan for upgrades to the software and develop testing plans
  • Provide data and reports to support institutional planning and decision-making.
4. Collaboration:
  • Work closely with academic department chairs, faculty, and staff to address scheduling concerns and ensure that courses meet student needs.
  • Collaborate with campus business office, academic deans, and other relevant departments to resolve scheduling conflicts, develop contingency plans and address space management issues.
5. Optimization:
  • Continuously assess scheduling processes and systems to identify opportunities for improvement and optimization.
  • Implement scheduling software and tools to streamline the scheduling process.
6. Compliance and Policies:
  • Ensure that scheduling practices adhere to college policies, accreditation standards, and other relevant regulations.
  • Keep abreast of trends and best practices in academic and room scheduling.
7. Perform other related duties as required or as assigned.

Clearances:  Current criminal record/child abuse clearances will be required if offered the position and to be employed at the College. The three clearances are Pennsylvania Child Abuse History Clearance, Pennsylvania State Police Criminal Records Check, and Federal Bureau of Investigations (FBI) Criminal Background Check.
