New Employee Pre-Hire Meeting

Welcome to CCAC!

We are excited to have you joining CCAC. Before your start date at CCAC, you will need to schedule a New Employee Pre-Hire Meeting with the Office of Human Resources at our Employee Processing Center (EPC). This meeting should take about 30 to 45 minutes and can be scheduled through Calendly. (The Calendly calendar to schedule is also toward the bottom of this page.)

In this meeting, you will:

  • Present your federally accepted Identity Verification Document(s) for Section Two of your I-9 or Employment Eligibility Verification Form 
  • Turn in your completed New Hire Packet with any additional documentation that may be required:
    • Voided Check or Direct Deposit Authorization
    • Copy of your last paystub from your primary employer
  • Present your three Pennsylvania Act 153 Clearances
  • Verify receipt of any required transcripts 
  • Present proof of full vaccination via a COVID-19 Vaccination Card or an acceptable alternative method  
  • Get your photo taken and CCAC ID printed

The Office of College Services is the Orange Building across the street from the McDonald's. You will be able to park for free in the adjacent gated lot across the street from Wendy's. Please inform the guard at the intercom at both the parking gate and the front door that you have an appointment with the Employee Processing Center, and they will admit you.

Due to COVID-19, you will be required to be masked before entering the building. Access to the building and the processing center is by prior appointment only and has been set up to promote social distancing.

Since all three clearances must be on file before you may start working, please wait to schedule the pre-hire appointment until all clearances are received. (Please do not schedule a separate appointment to submit you clearances.)  You will need to present your original clearances in person to the Employee Processing Center. New Hire Packet (NHP)

The DocuSign New Hire Packet will be triggered when you schedule your pre-hire meeting through Calendly. When scheduling, it is CRUCIAL that you provide an accurate and current email address as well as a phone number that can receive text messaging. If you do not have a phone with this capability, please call 412-237-3011 immediately after scheduling your pre-hire meeting to leave a message indicating this.

The NHP first goes to an administrator to complete the position information section of the packet. Once they have completed this section, DocuSign will then email you to complete the NHP. The NHP must be completed before your scheduled pre-hire meeting time, so the Office of Human Resources has time to process it. 

To access the NHP document, you will need to confirm your identity using an access code you receive via text message. 

Additional Documentation to be attached to the NHP

  • Voided Check or Direct Deposit Authorization letter from your bank
    (Note: Deposit Slips CANNOT be used because they have a different routing number.)
  • Copy of your last current year paystub from your primary employer if you are applying for the local services tax exemption.

I-9 or Employment Eligibility Verification

Please complete section 1 only of your I-9 using the two emails from NoReply@LookoutServices.net containing a username, password, and link. These emails may need to be sent after you have completed the NHP. (You are NOT REQUIRED TO PRINT a receipt as suggested in step six of the instructions provided by the Lookout Services email.) 

You will need to BRING the ORIGINAL(S) of your federally accepted identity verification documentation to the appointment so section 2 can be properly completed in the office. More information on acceptable documentation can be found on the U.S. Citizenship and Immigration Services Website.

Proof of COVID-19 Vaccination 

Effective November 1, 2021, as a condition of employment, all new employees of Community College of Allegheny County must be fully vaccinated against COVID-19 and provide proof of their vaccination or have received an approved exemption to be an employee. A COVID-19 Vaccination Card or an acceptable alternative method can be provided as proof. (A clear and legible scan or digital picture will be acceptable.)

Prospective employees who are offered a position can request an exemption from this vaccine requirement for religious or documented medical reasons. Exemption requests will be reviewed for approval on a case-by-case basis by the Office of Human Resources. 

Further, employment cannot commence unless a COVID-19 vaccination card is provided on or before your first day that verifies full vaccination (as defined by vaccine manufacturer) or you have requested and received an approved exemption from CCAC Office of Human Resources. Employees with approved exemptions will be required to comply with the College’s COVID safety measures.
